Planning & Coordination

Planning Pricing & Details

Planning and Coordination Packages start at $1500.

Each package is custom fit to the Clients' unique needs.

An overview of our planning services:

  • Comprehensive talk-through of your event vision, start-to-finish. 

  • Create and track master budget.

  • Create checklists, place orders, line up details, make it turn-key for the clients.

  • Make suggestions and recommendations based on expertise., including vendor recommendations as needed.

  • Support creation of guest list database.

  • Proof and order printed collaterals (save the dates, invitations, programs, menu cards, stationery.)

  • Capture names, numbers, times, commitments of any third parties in a shared online platform.

  • Create site plan and under-tent plan (to-scale diagrams laying out where everything belongs).

  • Create and provide a clear, visible, realistic and flexible game-plan for accomplishing all logistics in logical fashion, reducing intrusion on the Clients' important time with friends/family.

  • Help select rentals and coordinate deliveries.

  • Serve as Clients' liaison with vendors such as hair/makeup professionals, photographer, videographer, musicians and DJs, florists, bakers, caterers, rentals, transportation and officiants.

  • Help develop the Ceremony (processional, welcome, readings, vows, music, recessional).

  • Week of wedding final meeting and touch base phone calls. Call client and third parties to confirm final details, how to access the property, arrival times, exchange final contact information and supply the final timeline, confirm shot list and schedule with photographer, etc.

  • Lead the rehearsal. Provide instructions to wedding party, family, and officiant, so everyone knows where to be and when. With assistance of officiant, walk and talk-through wedding ceremony.

  • Furnish event kit, emergency kit and bride’s bag, which collectively contain everything from zip-ties and tools to pain reliever to safety pins to lighters to breath mints. Bride’s Bag contains $300+ in items that might “pop up” (bobby pins, hem tape, earring backs, etc).

  • Coordinate and lead wedding day events, managing on-time flow of hair and make-up, meals, first look and pre-ceremony photography, transportation, arrivals, deliveries, etc.

  • Provide guest comfort amenities in restrooms (hand sanitizers, air freshener, breath mints, pain reliever, ladies’ hygiene products)

  • Work with caterer and bartenders to ensure readiness for cocktail service, appetizers and reception meal. 

  • Welcome guests to cocktail hour. Help move ceremony chairs into reception tent as necessary.

  • Assist photographer in gathering family for post-ceremony photos

  • Cue necessary parties at key moments: start of ceremony, cocktail hour couple's return to reception, dinner, toasts, dances, bouquet toss, cake-cutting, etc.

  • Encourage participation in photo booth, guest book signing and games if planned.

  • Monitor trash cans and restrooms for cleanliness.

  • Transfer gifts and cards to a safe, pre-agreed location.

  • Alert guests when departure transportation arrives.

At additional charge if needed/requested:

  • Negotiate room blocks at hotels or line up VRBO vacation rentals.

  • Arrange guest transportation.

  • Wedding website or FB page.

  • Plan and coordinate rehearsal dinner.

  • Create and stage out-of-town guest gift bags or baskets at lodging

  • Wedding design & styling

  • Set-up

  • Tear-down

  • Beverage and ice replenishment

  • Assist caterer with setting, serving, pouring water and/or clearing

  • Bring out and cut cake or portion and serve desserts

  • Other custom requests
